We do not knowingly allow identifiable personal data about children or young people to be used to train general-purpose AI models.

Like any technology, AI tools can make mistakes. Where AI is used to assist with coaching records or other important information, a person reviews the output before it is relied upon.

9. How Long We Keep Your Personal Information

 

We only keep personal information for as long as it is reasonably necessary for the purposes for which it was collected, including to provide our services, meet legal or regulatory obligations, resolve disputes, protect individuals and maintain appropriate business records.

General Enquiries

If you contact us but do not go on to use our services, we will typically keep your enquiry information for between 6 and 12 months after our last communication, unless there is a good reason to keep it for longer.

 

Coaching Records

We will normally keep routine coaching records, including session notes, summaries and agreed action points, for up to 12 months after coaching has ended, unless a longer retention period is appropriate.

 

Coaching Recordings

Where coaching sessions are recorded with the appropriate permissions, recordings will usually be deleted within 90 days after any agreed notes, summaries or transcripts have been prepared, unless there is a legitimate reason to retain them for longer.

 

AI Transcripts

Where AI transcription is used, raw AI-generated transcripts will usually be deleted within 90 days after they have been reviewed and any required notes or summaries have been prepared, unless there is a legitimate reason to retain them for longer.

 

Agreements and Consent Records

Signed agreements, consent forms and related records may be kept for up to 6 years where this is appropriate for legal, contractual, insurance, tax or accounting purposes.

 

Payment and Accounting Records

Payment, invoicing, tax and accounting records are retained for as long as required by applicable legal and accounting requirements.

 

Complaints

Recordings and AI Transcription

Where optional coaching recordings or AI transcription are offered, we will explain how these services work before they are used.
